Buildings & Spaces
Map every manual to the physical place its equipment lives. Then you (and the AI) always know where to look.

ManualVault uses a two-level hierarchy. A building is a site you manage (a house, an apartment complex, a restaurant). Inside each building are spaces — rooms or zones where equipment lives (Kitchen, Mechanical Room, Unit 4B, Rooftop). Each manual can be assigned to one space (or left unassigned).
Why bother? Two reasons: 1) when something breaks in the kitchen, you want to filter to "Kitchen" and see only those manuals; 2) the AI uses location context to answer questions like "what's the error code on the oven in Unit 4B?".
Creating buildings and spaces
Open the Buildings page from the sidebar. Click "Add Building" to create one — set a name and an optional address. From each building card, click "Add Space" to create a space underneath it; spaces have an optional floor number.
You can also create a building or space inline from any combobox that asks for one (the upload sheet, the import sheet, the duplicate dialog). Just type a name that doesn't exist yet and pick the "Create" option.
Assigning manuals to spaces
There are three ways to assign a manual to a space:
- At upload time — pick the building and space from the upload sheet.
- From the manual detail page — edit the location.
- By drag and drop on the Dashboard — grab a manual chip and drop it on a different space card. Drop on the "Unassigned" section to remove the assignment.
Right-click (or long-press on touch) a manual chip on the Dashboard to open a context menu with options to open, duplicate to another space, or unassign.
Duplicating a manual
Need the same manual in two spaces (e.g., identical fridges in two units)? Right-click the chip on the Dashboard, choose "Duplicate to Space…", and pick the destination. We create a fresh manual record pointing at the same processed content — no re-upload required.
Plan limits
The free plan includes 1 building, 5 spaces per building, 1 manual per space, and a workspace-wide cap of 5 manuals. Paid plans raise these significantly. See Plans & Billing.
