The homeowner's appliance warranty checklist

If you've ever had to make a warranty claim, you know the call goes badly when you don't have the info ready. They ask you four things, you can answer one of them, and the call gets longer. Here's the list I keep for every appliance in my house.

1. Model number

The exact model number from the nameplate. Not "GE Profile fridge", the actual PFE28KYNFS or whatever it is. One character off and you're looking at the wrong manual and the wrong parts.

2. Serial number

The serial is how warranty claims actually get tracked. It's also how you find out when the appliance was made (most manufacturers encode the manufacturing date into the serial). If your fridge breaks and the manufacturer admits there's a known defect on a specific batch, the serial is what tells you whether your unit is in the batch.

3. Purchase date

The day you bought it, not the day it was installed (unless it's something where the contractor's invoice is the better record, like a water heater or HVAC unit). Warranty length runs from this date.

4. Purchase location

Where you bought it. If it was a big box store, that store can usually pull up the receipt for you years later. If it was through a contractor, you need their invoice. If it was a private sale or it came with the house, you probably don't have warranty coverage, but document what you do know.

5. Warranty length and what it covers

Most appliance warranties are one year on parts and labor, with longer coverage on specific components (compressors, motors, sealed systems). Write down both numbers and what each one covers. A fridge might be one year full, five years on the sealed system, ten years on the compressor.

If you bought an extended warranty, write down who it's through (the manufacturer, the retailer, a third party) and the policy number.

6. Registration confirmation

If you registered the appliance with the manufacturer, save the confirmation email or screenshot the confirmation page. You don't strictly need this, but it speeds up the first 30 seconds of any support call.

7. Maintenance schedule

What needs to be cleaned, replaced, or checked, and how often. Fridge water filter every six months. Dishwasher filter monthly. HVAC filter quarterly. Dryer vent yearly. Write down when you last did it. This is the thing nobody tracks, and it's why appliances die early.

Bonus: photos of the receipt and nameplate

A photo of the receipt and a photo of the nameplate, attached to the rest of the info. When something breaks in year three and the store can't find your account, you have the receipt anyway.

How to actually keep this

A spreadsheet works. A Notion page works. A folder of PDFs works if you're disciplined. The issue is keeping it up to date when you buy something new at 8pm on a Tuesday and then forget about it.
